Access control systems and intercoms are now standard in offices, factories, hospitals, schools and apartment complexes. Installers and integrators handle surveys, installations, configuration, user administration requests, troubleshooting and maintenance. Each site can have dozens or hundreds of doors and devices, and each door combines several components — reader, controller, lock, exit button, door contact, power supply. When records are incomplete, troubleshooting takes longer and customers lose confidence.

Site surveys and design

A survey captures each door's type, frame, existing locks, cabling routes, power availability, network points and fire-exit requirements. Recording this on a tablet with photos produces an accurate bill of materials and quotation, and gives installers clear instructions.

Installation projects

Installation involves cabling, mounting readers and locks, installing controllers and power supplies, configuring software, enrolling users and testing each door. Tracking progress door by door with checklists and photos keeps projects on schedule and ensures nothing is missed at handover.

Door-wise device register

After installation, every door and its components — and every intercom panel and indoor unit — is recorded with model, serial number, IP address where applicable, firmware and installation date. Door schedules and wiring notes are attached. When a door stops working, technicians know exactly what's installed and how it's wired.

User and card administration

Many customers ask installers to add or remove users, issue cards, change schedules or update access levels. Logging these as tickets with requester, approval and completion creates an audit trail — valuable for security-conscious customers — and makes billable admin work visible.

Troubleshooting and service calls

Common faults include locks not releasing, readers not responding, doors held open, power supply failures and network issues. Technicians see device history and wiring before arriving, record the fault and fix, and update the register when components are replaced.

Preventive maintenance

Preventive visits check lock operation, door closers, readers, exit devices, emergency release, battery backup, cabling and controller health. Door-wise checklists ensure every door is checked and give customers a clear report.

Apartment intercoms and video door phones

Residential complexes have many indoor units and panels. Residents report issues by flat number via QR codes or WhatsApp, technicians see the flat's units and history, and the facility manager receives monthly summaries of complaints and resolution times.

Integration with security systems

Access control often works alongside CCTV, alarms and fire systems. Recording all systems at a site in one register lets a single visit cover multiple systems and a single report go to the customer. See CCTV and security software.

AMCs

AMCs include preventive visits and service calls, sometimes with parts. Renewal reminders and service history support renewals. See AMC management.

A practical rollout

Start by building device registers for your largest sites and logging service calls and admin requests in one queue. Add preventive maintenance and resident complaint channels next, then survey and project tracking for new installations.

Common problems this software solves

  • Unknown wiring and configuration at older sites.
  • User admin changes made without records.
  • Preventive visits that skip doors.
  • Slow troubleshooting without device history.
  • Missed AMC renewals.

KPIs to track

  • Service call response and resolution time.
  • Doors checked per preventive visit.
  • Repeat faults per door.
  • Admin requests handled and billed.
  • AMC renewal rate.

Fire safety and emergency release

Doors on escape routes must release in an emergency, often through fire alarm interfaces and emergency break-glass units. Testing these releases during preventive visits — and recording the result per door — protects building occupants and gives the customer evidence of testing. Failures become priority jobs. This is one of the most important checks an access control service company performs, and one of the easiest to overlook without door-wise checklists.

Upgrades and migrations

Older access control systems often run on unsupported software or obsolete card technologies. A complete device register shows exactly which sites have ageing controllers, readers or card types, allowing service companies to propose phased upgrades backed by fault history. Migration projects are then planned door by door with minimal disruption to the customer.

Measuring service quality

Customers judge access control service by how quickly locked-out staff or residents regain access and how rarely doors fail. Tracking response times for "door not opening" calls separately from routine faults, and monitoring repeat faults per door, gives a clear picture of service quality and where hardware or installation improvements are needed.

Frequently asked questions

Can we record every controller, reader and lock per site?

Yes. Controllers, readers, locks, exit buttons, door sensors, intercom panels and indoor units are recorded per door or flat, with serial numbers, IP addresses and installation dates.

Can card or user administration requests be tracked?

Yes. Requests to add, remove or change user access can be logged as service tickets with approval and completion records, giving customers an audit trail of changes made on their behalf.

Can technicians see wiring and configuration details?

Yes. Door schedules, wiring notes, controller configuration and photos are attached to the site record and available on the technician's app.

Can we manage apartment complexes with hundreds of intercom units?

Yes. Each tower, floor and flat can have its own units recorded, and resident complaints can be raised by flat number through a QR code or WhatsApp.

Can preventive maintenance be scheduled for every door?

Yes. Visits generated from the AMC include door-wise checklists for locks, readers, closers, exit devices and battery backup.

Can integration with access control software be done?

Where the access control platform offers an API or exports, status or events can be connected. Feasibility depends on the vendor and is confirmed during scoping; any licence costs are borne by the client.
